I usually make my first call around 7 a.m. PT. Having leads all over the world means I have to be excellent at prioritization, staying organized, and creating strong systems to cover more ground.
Conversations might be the most visible part of my job, but my success also depends on everything happening around them: research, following up and keeping your pipeline accurate.
That’s where Chloe Chat comes in. Chloe Chat saves me hours a week on sales admin work, so I can focus on what moves deals: face time with prospects.
Here’s how I use Chloe Chat to save more than 8 hours of manual work every week.
1. Meeting prep on demand
There's nothing worse than joining a call and realizing you’re underprepared.
I used to spend 15+ minutes prepping for each meeting. Now, I ask Chloe Chat to pull together the relevant context from the lead record and add the notes directly to the Lead page. A few minutes before the call, I review the recap.
Prompt:
Prepare me for my upcoming meeting with [Lead name]. Review the lead record, form responses, recent emails, calls, meetings, notes, open opportunities, and tasks.
Create a concise meeting-prep note on the Lead page with:
- Company and contact background
- What they’re trying to accomplish
- Key pain points, priorities, and buying signals
- Previous conversations and commitments
- Open questions or risks
- A recommended opening for the call
- Three discovery questions tailored to this lead
- The most appropriate next step to aim for
Keep it skimmable enough to review in two minutes. Clearly label anything that is inferred rather than explicitly stated.
Try it now: "Chloe, prep me for my next meeting"
Time saved: My prep went from at least 15 minutes per meeting to a couple of minutes reviewing Chloe Chat's notes. On a 5-meeting day, that's over an hour back.
2. Follow up while it’s hot
Strong follow-up proves you listened. It reminds the prospect what you discussed, reinforces their pain points, answers open questions, and keeps the next step moving. What used to be manual, I now outsource.
Chloe Chat uses the Notetaker transcript from my calls, along with the context already in Close, to draft my follow-ups. It picks up on the things I promised to send or answer, and while I still give it a quick edit, the heavy lifting is done.
Prompt:
Draft a follow-up email for [Lead name] based on my most recent call with them. Review the call transcript and any relevant prior communication first.
Include:
- A brief, specific recap that proves I listened
- Their goals, pain points, and any decisions made
- Every resource, answer, or action I committed to provide
- Relevant Close resources where useful, including API documentation if it came up
- A clear, low-friction next step with a proposed date or action
Match my usual email tone. Keep it concise, direct, and personalized. Save it as a draft for my review—do not send it.
Try it now: "Chloe, draft my follow-up"
Time saved: A follow-up that used to take me 10-15 minutes now takes a couple of minutes to review and edit. Across five calls a day, that can easily give me back 1 hour/day.
3. Resurrect the right deals
"Not now" doesn't always mean never.
We all have a list of these unexplored opportunities. The problem is, you rarely have the time to dig back through them.
I now run Chloe Chat against a Smart View of closed-lost leads to:
- Review the conversation history
- Identify leads who went quiet after a promising conversation or mentioned plans to replace another tool
Then Chloe Chat drafts an email, which I can review, edit, and send.
Prompt:
Review the closed-lost leads in [Smart View name] and identify the best candidates to re-engage. For each lead, review the conversation history, calls, emails, notes, and close-lost context.
Prioritize leads that:
- Went quiet after a promising conversation
- Said “not right now” or cited timing rather than giving a hard no
- Mentioned replacing a tool, an upcoming initiative, hiring, growth, or another possible trigger
- Have missing close-lost reasons that can be determined from the record
First, fill in a missing closed-lost reason only when the history supports it. Then flag the strongest re-engagement candidates and explain the specific reason each is worth contacting now.
For the top [number] candidates, draft a personalized re-engagement email that references their prior conversation and offers a relevant reason to restart it. Save each email as a draft. Do not send anything or change an opportunity status without showing me the recommendation first.
Try it now: "Chloe, find deals worth reviving"
Pipeline impact: I've been able to reach back out to an additional 15+ Closed Lost deals a month.
4. White-glove outreach at scale
We've all been there: you have a lead worth pursuing and now you're stuck on what to say next.
That's where I use Chloe Chat the most. I'll pull up the lead record and use Chloe as a brainstorming partner.
A real example of how I use Chloe:
Me: I want to reach out to this lead through [channel] and mention [specific intent signal or prior context]. Do we know [product question I'm unsure about]?
Chloe: Answers my question and turns my ideas into a polished draft with the relevant resources.
Me: I review and edit the draft, then send it.
Why it matters: I can send relevant, personalized outreach to more high value leads.
5. Unclog Your Pipeline
Every Wednesday, my team reviews our pipeline, so on Tuesday I have Chloe clean up my opportunities and get everything ready. For active sales opportunities, Chloe reviews the latest conversations and updates things like stage and close date.
I still review everything myself, especially confidence levels. Chloe can surface the information, but I make the final call.
Prompt:
Review my open opportunities in [Smart View name] ahead of my forecast meeting. Compare each opportunity’s amount, expected close date, confidence, stage, and notes against the most recent calls, emails, meetings, tasks, and other activity.
Identify opportunities where the CRM no longer reflects what is actually happening. For each one, recommend:
- Updated amount, if supported by the conversation
- Updated expected close date
- Updated confidence level
- A concise opportunity note with the current situation, risks, and next step
- Whether the opportunity should remain open, move stages, or be closed-lost
For expired trials, use the actual trial expiration date when recommending closed-lost. Do not recommend closing an opportunity if there is an active, meaningful sales conversation.
Show me a summary of all proposed changes first. After I approve, apply only the approved updates.
Try it now: "Chloe, clean up my pipeline"
Why it matters: My pipeline is more accurate, and I save 30-45 mins a week maintaining my pipeline.
6. No deal left behind
When you're managing a lot of opportunities, a good deal can stall for a simple reason: you're not constantly being reminded to touch base.
I use Chloe to audit my open pipeline and flag opportunities without a task. She scans the conversation history to suggest and create high-intent follow-up tasks.
Prompt:
Review the open opportunities in [Smart View name] and find any that do not have a clear upcoming follow-up task. Use the most recent activity and conversation history to determine the best next action for each.
For every opportunity missing a next step, recommend one specific task that is relevant to the deal—for example, a call, email, WhatsApp message, or internal follow-up.
Each recommendation should include:
- The action to take
- Who to contact
- Why this is the right next move
- A suggested due date
- A short task description grounded in the latest conversation
Show me the proposed tasks first. Once approved, create them and avoid duplicating existing tasks.
Try it now: "Chloe, find deals with no next step"
Why it matters: I always know the next move for each open deal, and fewer opportunities fall through the cracks.
7. High intent hit list
When you’re juggling a high volume of trial users and leads coming in every month, the hardest part is figuring out how to prioritize and where to spend your time. Instead of setting manual call tasks for every lead, I use Chloe Chat to scan lead activity and rank outreach based on a mix of intent signals and past context.
I use a Smart View of active opportunities and ask Chloe to rank the best leads to call based on buying signals, domain legitimacy, and local time zones.
Prompt:
Review the active leads in [Smart View name] and build my prioritized call list for today. Rank leads based on signals that make them worth calling now, including:
- A legitimate business website and clear company fit
- Recent support interactions or product-interest signals
- Trial activity, previous conversations, and engagement
- Signs of urgency, buying intent, or a likely sales use case
Exclude leads that are clearly poor-fit, inactive, invalid, or not appropriate to call today.
Return the top [number] people to call, ranked in order through a task. Include time zone in task details.
Try it now: "Chloe, build my call list"
Why it matters: I start the day with a prioritized call list instead of spending the first part of my day deciding where to begin.
8. Disqualify fast
Not every trial signup is a legitimate sales opportunity. Some are partner accounts, developers testing the product, or hiring candidates exploring Close.
Now, I'm able to use Chloe to identify leads that meet clear disqualification criteria and add a custom activity to the record. That activity automatically filters them out of my pipeline and Smart Views.
Prompt:
Review the leads in [Smart View name] and identify records that are not legitimate sales opportunities. Apply these disqualification criteria consistently:
- Job candidate or hiring-related account
- Developer or test account
- Existing customer trying to access or join an existing organization
- Partner-managed account
- Internal test, spam, scam, or otherwise invalid lead
- Any other clearly documented non-sales scenario
For each lead that meets a criterion, recommend the appropriate disqualification reason and cite the evidence from the record. Do not disqualify a lead when the evidence is ambiguous.
First show me a summary of the proposed disqualifications, grouped by reason. After I approve, update the leads and record the reason consistently.
Try it now: "Chloe, disqualify junk leads"
Why it matters: I can keep non-sales leads out of my pipeline. So far this month, Chloe has helped me identify 24 disqualified leads.
I Spend My Time Where It Counts
Less time digging through records and updating fields means more time having real conversations with prospects. Chloe Chat doesn't replace the strategic thinking, empathy, or creativity that makes me good at sales. It simply handles the admin, helps me work more leads without burning out, and frees up time for the high-value deals that need my full attention.
